Keel Cortex Privacy Policy

This policy explains how Keel Cortex, LLC ("Keel Cortex," "we," "us") collects, uses, and protects your data across the apps we publish, and the rights you have over that data.

In this policy, "Apps" means the applications published by Keel Cortex, LLC, listed at keelcortex.com/apps. We are the data controller for the Apps — meaning we determine how and why your data is processed. Questions: privacy@keelcortex.com.

Our privacy principles

We build tools to support your training, not to mine your life. A few commitments underpin everything below:

  • You control your data. You can access or delete your data at any time, including when you cancel.
  • Access is limited and logged. Our team only accesses your personal data when there's a genuine need to operate the service or support you.
  • We never sell your data, and we don't use it for advertising.
  • We resist overbroad requests. We require valid, narrowly scoped legal process before disclosing data to authorities, and where lawfully permitted we notify you first.

How this policy works

Our Apps don't all collect the same data, so this policy is structured in three layers:

  1. 1.Universal terms — apply to every App (account, payments, security, rights, retention).
  2. 2.Tiers — each App belongs to a tier that defines what additional data it collects.
  3. 3.Appendix — lists each App and its tier.

To see exactly what a given App collects, read the Universal terms plus the section for that App's tier, then check the Appendix for the App itself.

Tiers

  • Standard. Collects only the universal data below — account, usage/diagnostics, and subscription status. No health data, location, or photos.
  • Health & Fitness. Everything in Standard, plus health and fitness data, precise workout location, and photos (see "Health & Fitness tier" below). Our Consumer Health Data Notice at the end of this policy applies to these Apps.

What we collect

Universal (all Apps)

Account information

When you create an account, we collect your email address, name, and a hashed password. If you sign in with Apple or Google, we receive the email and name they provide.

Subscription information

Subscriptions are handled by Apple's App Store or Google Play. We receive your subscription status, but not your payment card details.

Device and usage data

We collect anonymized usage events (which screens you visit, which features you use) and technical information (device model, OS version, app version, crash logs) to operate and improve the Apps.

Push notification tokens

If you enable notifications, we store a device token so we can send notifications you've opted into.

Health & Fitness tier (only Apps listed in that tier)

Profile and workout data

Information you add — workout logs, goals, personal bests, notes, and any profile details you choose to provide.

Health and fitness data

With your permission, the App reads workout data from Apple HealthKit or Google Health Connect (e.g., distance, duration, heart rate, calories, stroke data). This data stays on your device and in your encrypted cloud backup. We never sell or share it.

Location data

With your permission, we record GPS coordinates during active outdoor workouts so you can see your route. Location is only collected while a workout is active.

Photos

If you add a profile photo or attach photos to a workout, those images are uploaded to our backend and stored with your account.

Why we process your data, and on what basis

When you use our Apps, we process your data:

  • To perform our contract with you — providing the App's core features (e.g., saving progress, tracking, syncing, history) and processing your subscription.
  • Based on our legitimate interests — to authenticate accounts and keep them secure, diagnose crashes, understand which features people use so we can improve them, handle support requests, audit our operations, and establish or defend our legal rights.
  • To comply with legal obligations that apply to us, including responding to lawful requests from competent authorities.
  • With your consent — for example, before reading health data or accessing location or photos. You can withdraw consent at any time without affecting prior processing.

We do not make automated decisions that significantly affect you without human involvement. We do not sell your data, and we do not use it for advertising.

De-identified and aggregated data

We may use data that has been aggregated or stripped of anything identifying you — so it no longer identifies any individual — to understand usage trends and improve the Apps. This data is no longer personal data.

Who we share it with

We share limited data with recipients who are contractually required to protect it and may not use it for any purpose other than providing services to us:

  • Service providers — Supabase for backend services and authentication, and Sentry for crash reporting. We do not currently use a third-party analytics provider.
  • Apple / Google — subscription processing and push delivery.
  • Authorities and legal parties — courts or government authorities where we believe disclosure is necessary under applicable law, or to establish, exercise, or defend legal rights. We require valid legal process and, where lawfully permitted, notify you first.
  • Business transferees — prospective or actual buyers in connection with a merger, acquisition, financing, or sale of assets. We will make reasonable efforts to notify you before your data becomes subject to a different privacy policy.
  • Anyone else with your consent.

How long we keep it

We retain your data for as long as your account is active. When you delete your account, we delete or de-identify your data within 30 days, except where we're legally required to retain it (e.g., payment records) or where deletion isn't immediately possible (e.g., backups), in which case we isolate it from further processing until deletion is possible.

How to delete your data

You can delete your account from inside the App (Settings › Account › Delete Account) or by visiting the deletion page linked for that App at keelcortex.com/apps. Deletion is permanent.

Children

Our Apps are not directed to children under 13, and we do not knowingly collect data from them. If you believe we have, contact privacy@keelcortex.com.

Your rights

Depending on where you live (EU, UK, California, Washington, others), you may have the right to:

  • access, correct, or delete your data;
  • request that we restrict or stop certain processing;
  • object to processing based on our legitimate interests;
  • receive a copy of the data you provided in a machine-readable format, where technically feasible;
  • withdraw consent where we rely on it (e.g., health or location permissions).

To exercise any of these, contact privacy@keelcortex.com. We may need to confirm your identity before fulfilling a request. We will not discriminate against you for exercising your rights.

Appeals. If you're unsatisfied with how we handled a request, you may appeal. Submit a new request stating that you wish to appeal an earlier decision, with enough detail to identify the original request, and we'll review it as soon as practicable. You also have the right to lodge a complaint with your local data protection authority, though we ask that you contact us first.

International transfers

Your data may be processed in the United States or other countries where we or our service providers operate. Where required, we use appropriate safeguards (such as the European Commission's standard contractual clauses) to protect data transferred across borders. We can provide details on request.

Changes to this policy

We'll update this page when our practices change and update the "Last updated" date. We won't materially reduce the protections that apply to data we've already collected from you without your consent. Material changes will be communicated in-app.

Consumer Health Data Privacy Notice

This notice describes how Keel Cortex, LLC collects, uses, and protects consumer health data in connection with our Health & Fitness tier Apps (listed in the Appendix above), and the rights you have over that data. It applies to the extent required by applicable US state laws (including the Washington My Health My Data Act and similar laws) and supplements the Privacy Policy above. If this notice conflicts with the Privacy Policy on the subject of consumer health data, this notice controls.

Categories of consumer health data we collect

  • Physiological and activity measurements — heart rate, calories, distance, duration, stroke data, and similar metrics read from Apple HealthKit or Google Health Connect with your permission.
  • Workout and wellness information you enter — workout logs, training goals, personal bests, and notes.
  • Precise location during active workouts — GPS coordinates of outdoor workouts, collected only while a workout is active.

Sources

We collect this data from you (when you enter it or grant permissions) and from connected services such as Apple HealthKit or Google Health Connect, only when you grant permission.

How we use it

We use your consumer health data to provide each App's core features — tracking, syncing, history, routes, and personalized insights — and, in de-identified or aggregated form, to improve the Apps. Any personalization happens within the App. We do not sell your consumer health data, and we do not use it for third-party advertising.

Sharing

We may share consumer health data with service providers who help us operate the Apps (under contractual confidentiality obligations); with authorities where required by valid legal process or to protect safety or legal rights; and as part of a business transfer, with reasonable advance notice to you. We otherwise share it only with your consent or at your direction.

Your rights

Subject to your state of residence, you may withdraw consent, confirm and access the health data we hold, request a list of third parties we've shared it with, correct it, delete it, and appeal a denied request. To make a request, contact privacy@keelcortex.com.

HIPAA disclaimer

Keel Cortex is not a "covered entity" or "business associate" under HIPAA, and our Apps are not subject to HIPAA's privacy or security rules. We protect your consumer health data under applicable privacy laws, our Privacy Policy, and this notice.
